WHAT PERSONAL DATA IS PROCESSED?
IHP processes personal data that you yourself have provided to us. When you make an inquiry or a purchase with us you will provide information. The point is not to process more personal information than is necessary and the endeavor is always to use the least privacy-sensitive information. As the company does business with other companies, B2B, we have very little need of personal information towards customers and suppliers. Information about our employees is somewhat more extensive for legal, general and practical reasons.
Examples of personal data that the company may process:
WHERE AND HOW IS THE PERSONAL DATA STORED?
Personal data is stored in our business system, CRM system, in contact lists, on our servers and in binders; digital and paper format. By the matrices and the mapping company has made, we believe we have good control and can thus show what we have for information and where they are stored. This mapping forms the basis for the data subject’s rights to ask for extracts from our records or the right to “be forgotten”.
FOR WHAT PURPOSE DO WE PROCESS YOUR DATA?
We process personal data primarily to fulfill our commitments to customers, suppliers, employees and authorities.
Personal information about our customers is used to ensure good service such as deliveries, follow-up and information, but also for customer analysis and marketing. Everyone has the right to oppose us using personal data for direct marketing purposes. When we collect personal information we provide information about this and how to oppose it through our website unless otherwise stated.
Personal information about our suppliers is small, but those that are used are mainly used to communicate purchases, price inquiries and technical issues.
Personal information about our employees is needed for further information to the employee but also to banks for payment of wages and to authorities for reports according to the Accounting and Taxation Act. Personal information about the employee’s relatives is to be able to inform if something happens to the employee.
LEGAL BASIS FOR THE PROCESSING AND STORAGE PERIOD
IHP always treats your personal information in accordance with applicable law. We treat personal information when it is necessary to fulfill an agreement with you, and when we have another legitimate interest in processing your personal data. If we were to process your personal data for any purpose that, under applicable law, requires your consent, we will obtain your consent before we begin such processing.
Provided that no legal relationship says otherwise, such as the Accounting Act, the information collected in accordance with the above will be erased when the purposes of the processing are completed.
SECURITY FOR PROTECTION OF PERSONAL DATA
IHP cherishes a high security for your personal information and to this purpose has taken appropriate technical and organizational security measures to protect them from unauthorized access, modification, disclosure or destruction.
The point is that only employees within the organization who need the personal data to perform their tasks should have access to them.
For sensitive personal data, we have established special access controls, which mean a higher level of protection for personal data.
Our security systems are designed with a focus on privacy and protects greatly from intrusion, damage or changes that may pose a risk to privacy.
LIMITATIONS OF RELEASE OF DATA
Our point is not to disclose personal information to third parties unless consent is given or if it is not necessary to fulfill our obligations under the contract or law. In cases where the company uses personal data assistants, i.e. a third party, we establish a confidentiality agreement and ensure that the personal data is processed in a satisfactory manner.
IHP may also disclose personal information to third parties, such as the police or other authority, if it concerns the investigation of crime or if we are otherwise obliged to disclose such information with the support of law or government decisions.
IHP will not disclose your personal data to any other extent than described in this section.
